Travel & Operations Coordinator

Agilite is looking for a Travel and Operations Coordinator to join its to join its vibrant, creative, and enthusiastic team. The candidate will coordinate all elements of our foreign guests’ trips to Israel as well as supporting the team with the general logistical/admin tasks of a rapidly-growing small but international company. 

In this position you will become a vital team member by utilizing your organizational and communication skills to support and coordinate the company’s travel operations and those of our foreign guests visiting us in Israel as well as general support duties. 

Responsibilities

  • Build itineraries and packages according to the company’s  (often VIP) guest's needs including visits to Military bases, Agilite HQ, tourist sites, restaurants and night life spots. 
  • Corresponding with clients to schedule their itineraries, travel dates, costs, and accommodation.
  • Organize trips from beginning to end, through booking flights, accommodation, tours, booking sites, transport, hotels etc and coordinating visits with Military bases etc. 
  • Monitor payments and operate within strict budgets. 
  • Handle unforeseen problems and challenges.
  • Create and update electronic records of clients.
  • Maintain relationships with important clients remotely and in person on arrival
  • Booking foreign travel and other arrangements for company CEO/COO and other team members. 
  • Supporting the HR and Admin department especially where mother tongue level English is required.
  • Admin support for the CEO/CEO where required, particularly relating to overseas travel or clients. 
  • Coordinating with IDF bases or other venues. 
  • Additional administrative duties as required

Qualifications

  • Enthusiasm for people and cultures.
  • Passion for changing people's lives through meaningful experiences.
  • Excellent English & Hebrew (written and spoken) is a must! Other languages are a plus!
  • Exceptional interpersonal and communicational skills.
  • Highly service-oriented, creative and resourceful. 
  • Detail-oriented.
  • Work well under pressure and know how to work in high pressure/time sensitive environments and problem solve with out-of-the box solutions to challenges.
  • Proficiency in Microsoft Office 
  • Previous experience in Tourism/PR/Event Planning/Trip organizing/Backoffice
  • Military Service-Advantage
